Description

This service is used to request the granting or revocation of user access to shared mailboxes within ITS. Access is granted to enable users to access and manage a shared mailbox in accordance with their roles and responsibilities. Access is revoked when users no longer require it, change positions, transfer to another unit, or their assignment has ended.

Access is granted or revoked only upon request from the shared mailbox owner unit for the users specified in the request.

Available Access Permissions

Full Access

Grants users permission to open and manage the contents of the shared mailbox, including reading, creating, moving, and deleting email messages.

Send As

Grants users permission to send email using the shared mailbox address as the sender. Recipients will see the email as being sent directly from the shared mailbox.

Who can submit a request?

Requests for granting or revoking shared mailbox access can only be submitted by the shared mailbox owner unit.

Requirements

The unit leader prepares an official request letter containing:

  • Shared mailbox name.
  • Request type (access granting or access revocation).
  • List of users whose access will be granted or revoked.
  • Requested access permission type (for access granting requests).

Service Workflow

The unit prepares an official request letter
and submits it to DPTSI through myITS Office.


The LTSI Team verifies the submitted information.


The LTSI Team grants or revokes user access to the shared mailbox.


The LTSI Team notifies the requesting unit that the access
granting or revocation process has been completed.

How to access a shared mailbox?

  1. Open outlook.live.com/mail/.
  2. Click the Sign in button in the top-right corner of the page.
  3. Enter your ITS email address and myITS password.
  4. Click your profile picture in the top-right corner, then select Open another mailbox.
  5. Enter the shared mailbox address (for example, layanan@its.ac.id).
  6. Select the shared mailbox from the search results, then click Add.
  7. The shared mailbox will appear and is ready to use.

The shared mailbox access granting or revocation process is completed according to the SLA, with a maximum processing time of 2 (two) working days.

What should I do if a user transfers to another unit or changes their position?

If a user no longer requires access due to a unit transfer, position change, or the end of their assignment period, the shared mailbox owner unit must submit a request to revoke the user’s access. If the user requires new access based on their new role or responsibilities, the relevant unit may submit a request for access provisioning.
