What is a shared mailbox?

A shared mailbox is a shared email inbox that can be accessed by multiple users to manage emails using the same email address.

Requirements for requesting a shared mailbox

  • The request must be submitted by the head of the unit or an employee authorized by the respective unit.
  • The shared mailbox must be used for organizational purposes and not for personal use.
  • The requester must provide the proposed email address name following the format [unit name]@its.ac.id.
  • The requester must provide a list of users who will be granted access rights along with their respective ITS email addresses.
  • The shared mailbox is the responsibility of the requesting unit.

How to Request

Prepare an official letter from the unit containing:

  • The shared mailbox email address name;
  • The purpose and description of use;
  • A list of users who will be granted access rights (full name and ITS email address).

Then, submit the request to DPTSI through myITS Office.

Service Workflow

The unit prepares an official request letter
and submits it to DPTSI through myITS Office.


The LTSI Team verifies the request data.


The LTSI Team creates the shared mailbox
and delegates access to the designated users.


The LTSI Team notifies the requesting unit that the mailbox creation
and access provisioning process has been completed.

How to access a shared mailbox?

  1. Open outlook.live.com/mail/
  2. Click the Sign in button in the top-right corner of the page.
  3. Enter your ITS email address and myITS password.
  4. Click your profile picture in the top-right corner, then select Open another mailbox.
  5. Enter the shared mailbox email address (e.g., layanan@its.ac.id).
  6. Select the shared mailbox that appears, then click Add.
  7. The shared mailbox will appear and is ready to use.

How Long Does the Shared Mailbox Creation Process Take?

The shared mailbox creation process is completed in accordance with the Service Level Agreement (SLA), with a maximum processing time of two (2) business days.

Who Can Request a Shared Mailbox?

Requests can only be submitted by work units within ITS (bureaus, directorates, faculties, departments, and other units/institutions under Areas I–IV). For student organizations, such as BEM, UKM, or event committees, the request must be submitted through the supervising unit.
